First Steps After Signup

This guide walks you through the first steps after signing up for Xolapp: completing your profile, adding services, setting up your public booking page, adding a client, and creating your first appointment. It is for new users.

Welcome to Xolapp! Follow this step-by-step guide to get your business up and running quickly.

Step 1: Complete Your Profile

Location: Business Profile (from the main menu, under Business)

Your business profile is the foundation of your Xolapp account. This information will be displayed on your public booking page, so make it professional and complete.

What to include:

  • Business name and tagline
  • Contact information (phone, email, address)
  • About section describing your business
  • Logo and hero image for branding

Step 2: Add Your Services

Location: Services → Add Service

Define what you offer to clients. Services are used when creating appointments and can be displayed on your public booking page.

Required information:

Service Name:

e.g., "Haircut", "Consultation", "Massage"

Price:

Set in your default currency

Duration:

How long the service takes (in minutes)

Description:

What's included in the service

Step 3: Set Up Your Public Page

Location: Create your Website

Your public booking page is where clients can book appointments online 24/7. Make it attractive and professional.

Customization checklist:

  • Upload a professional logo (recommended: 200x200px or larger)
  • Add a compelling hero image (banner at the top of your page)
  • Write a catchy tagline that describes your business
  • Select which services to display on the page
  • Choose your theme color to match your brand
  • Click Publish to make it live

💡 Tip: Your public page URL will be: https://yourbusiness.xolapp.com (replace "yourbusiness" with your subdomain)

Step 4: Add Your First Client

Location: Clients → Add Client

Start building your client database. You can add clients manually or they'll be added automatically when they book through your public page.

Required fields:

Name:

Client's full name (required)

Email:

Email address (required for reminders)

Optional but recommended:

Phone:

Contact number

Address:

Physical address

Tags:

Organize clients (VIP, Regular, etc.)

ABN/ACN:

For business clients

Step 5: Create an Appointment

Location: Appointments → New Appointment

Schedule your first appointment. You can create appointments manually or let clients book through your public page.

When creating an appointment:

  1. Select a client (or create a new one)
  2. Choose the service being provided
  3. Pick a date and time
  4. Assign to a staff member (if you have a team)
  5. Add any special notes or instructions
  6. Click Create Appointment

Set Up Operating Hours

Define when your business is open. Go to Settings → Business to set your weekly schedule and closure dates.

Add Team Members

If you have staff, add them in Team and assign services. Set their working hours and availability.

Create and send invoices from Revenue & Invoices; configure payment terms and reminders as needed.

Share Your Public Page

Share your booking page link on your website, social media, email signatures, and business cards.

Frequently asked questions

In what order should I set things up?

We recommend: (1) Business profile, (2) Services, (3) Public booking page, (4) First client, (5) First appointment. You can adjust order if needed, but your public page needs services and a profile before clients can book.

How do I publish my public booking page?

Go to Create your Website, complete the layout and content, then click Publish. Your page will be live at your subdomain (e.g. yourbusiness.xolapp.com).

Can I add clients before creating appointments?

Yes. You can add clients manually under Clients → Add Client, or they will be added automatically when they book through your public page. You need at least one client to create an appointment.

Where do I set business hours?

Go to Settings → Business to set your weekly operating hours and closure dates. This controls when clients can book.

What if I have staff?

Add staff under Team, assign them to services, and set their working hours and availability. When creating an appointment, assign it to a staff member. See "Managing Your Team" for more.
